SiteIT Solutions is a bespoke software agency providing TypeScript application development, AWS serverless architecture, and HubSpot implementation services. This policy describes how we handle personal data collected through this website.

2. What Data We Collect

When you submit a contact form on our site, we collect:
  • First name and last name
  • Company name
  • Email address
  • Service interest (selected from a dropdown)
  • Project description (free-text field)

We do not collect payment information, government identifiers, or sensitive personal data as defined under GDPR Article 9.

3. How Your Data Is Stored

Contact form submissions are stored in two systems:
  • MongoDB (our database) — your submission is saved as a record for internal reference.
  • HubSpot CRM — your contact details are synced to our HubSpot portal via the HubSpot Forms API. This creates a contact record in HubSpot that our team uses to manage correspondence and project intake. HubSpot's own privacy policy applies to data processed within their platform: legal.hubspot.com/privacy-policy.

4. How We Use Your Information

Your contact details are used solely to:
  • Respond to your project inquiry
  • Qualify your project requirements and service fit
  • Send follow-up information relevant to your stated interest

We do not sell, rent, or share your personal data with third parties for marketing purposes.

5. Legal Basis for Processing (GDPR)

For visitors in the European Economic Area, we process your data on the basis of legitimate interest (responding to a business inquiry you initiated). Where we send follow-up communications, we rely on your implicit consent given by submitting the contact form.

6. Data Retention

We retain contact form data for up to 24 months from the date of submission, or until you request deletion — whichever comes first. Inactive project inquiries are purged on a rolling basis.

7. Cookies and Tracking

Our site uses the HubSpot tracking pixel (loaded only when your browser loads the page). This cookie enables:
  • Page view analytics within our HubSpot portal
  • Attribution of contact form submissions to source pages

We do not use advertising cookies or third-party retargeting pixels.

8. Your Rights

You have the right to:
  • Access the personal data we hold about you
  • Correct inaccurate data
  • Request deletion of your data (right to erasure)
  • Object to processing
  • Lodge a complaint with a supervisory authority (EU/UK residents)

To exercise any of these rights, please use our contact form and state your request clearly. We will respond within 30 days.

9. California Privacy Rights (CCPA)

California residents may request disclosure of the personal information we have collected about them, and may request deletion of that information. We do not sell personal information. Contact us via the contact form to submit a CCPA request.
